Role Description / Summary

The Contract Administrator is an integral team member of the Marketing, Business, Engineering and Operations organizations.  The position is involved with preparing and issuing proposals, administering contracts, order management relating to return goods and ensures adherence to import/export regulations.  This position serves as the customer’s first point of contact for new business and returns, focal point for returns related sales orders and customer quotations, and inside coordinator of returns-related activities.

Major Responsibilities

  • Receiving and reviewing requests for quotations.
  • Preparation and assistance with development of quotations.
  • Issuing quotations and customer follow up.
  • Customer’s first point of contact.
  • Support contract administration by ensuring terms and conditions are adhered.  This includes oversight, compliance, and review of warranty/service agreements.
  • Flows contract requirements to engineering, operations, and finance.
  • Ensures contract required turn times are met.
  • Supports OEM contract administration as necessary based on work load demands.
  • Review and acceptance of PO and to generate SO’s, providing customer acknowledgement of PO/SO, scheduling and/or rescheduling the SO in the backlog in an accurate and timely manner.
  • Manage customer website, portals, and teleconferences relating to returns and if required reflect changes in SO backlog (as covered by P.O.).
  • Ensure compliance with EXPORT/ITAR requirements.
  • Coordinate with finance on the issuance of credit memos.
  • Support customer returns of products and to ensure contractual requirements are adhered too.
  • Ensures that customer inquiries and questions are handled and processed in accordance with company objectives.  Provide feedback to customer on projected ship dates, status, and resolutions.
  • Day-to-day administration of customer’s warranty/returns, SO’s, backlog, inquiries, and contract processing activities to include proposal, preparation, negotiation and administration supporting marketing and program management.
  • Interface with quality, engineering, and operations to determine repair, work, or replacement needed for the unit(s).  Ensure the routing needed to resolve issues with the returned unit(s) are created and released by Operations.
  • Compile data and provide quotes for repairs.
  • Assist with coordinating repair units into production schedule and assist with coordinating recalls, retrofits, and upgrades for units in customer use.
  • Generate reports on repair department performance (turn time, cost, etc.) for management.  Develop and maintain a model for forecasting returns bookings.

Qualifications / Requirements

  • Associates degree in a business-related field or 5 years’ experience in Contract Administration, Inside Sales or other related experience in technical manufacturing environment.
  • Strong written and oral communications skills.
  • Intermediate to Advanced knowledge of MS Office Suite
  • Must be able to successfully work in a fast-paced environment with multiple priorities.

Operations Details

This is a full-time position.  Work schedule is 40 + hours per week.

Compensation

Compensation is commensurate with qualifications and experience.
